In this guide, you will learn how to assign a contact to an employee using Flows. Follow these instructions to easily assign contacts.
1. Click "Automations"
Open the Automations menu.
2. Click "Create Flow"
Select the option to create a new flow.
3. Click here
You will need an event to trigger the firing of this flow. Click on the add new workflow trigger box.
4. Click here
Select the Work flow trigger type. There is a long list of options. The most common are A Form submission, and A Tag being added. Feel free to explore the other triggers.We will choose a form being submitted.
5. Click "Add Trigger"
Once you have selected a trigger, you will click the button to "add trigger"
6. Click "Search..."
Click on the search field.
7. Fill "lookup contact"
Enter the term "Lookup" to bring up the item lookup contact.
8. Click "Lookup contact"
Click and drag the "Lookup Contact" block into your workspace.This block is to prevent duplicates in your system if the same person fills out the form more than once.
9. Click "Add field"
Choose the option to add a field twice.it will add two more slots to setup.
10. Click "Contact ID"
Now select the second drop down.
11. Fill "phone"
Enter the desired value for the phone field.
12. Click "Phone"
Select the Phone field.
13. Click "Contact ID"
Select the Contact ID field.
14. Fill "email"
Now do the same thing for the third drop down.type email in the box.
15. Click "Email"
Select the Email field.
16. Click "AndOr"
Choose the option for And/Or conditions.
17. Fill "AndOr"
This is very important.select "or". This will allow any of the fields above to be considered a match.
18. Click "Save"
Save the changes.
19. Click here
Now let's connect the flows. Select the small dot in the trigger area.
20. Click here
and connect it to the lookup contact block.
21. Click "Search..."
Now let's search for another flow block.
22. Fill "ai"
Enter "ai" as the search term.
23. Click "Assign AI Employee"
Select the option to assign an AI employee, or the red block to remove an AI employee.
24. Click here
Select which employee you wish to add or remove.
25. Click "Save"
Save the changes.
26. Click "Tags"
Select the Tags option.
27. Click here
Now place your Add or Remove AI Employee block under the lookup contact block.
28. Click here
Now connect both dots from the lookup contact to the your add or remove ai employee block.
29. Click here
Now click and drag the dot from under your add or remove AI Employee to the Deactivate Contact From Flow Block.
30. Click "Save"
Save the changes.
31. Click "Draft Flow"
Give your workflow a name so you can identify it later.
32. Click "Publish"
Publish the flow.
